How we receive, notify, scan, forward, and shred your business mail
When mail arrives for your business, our team sends you an urgent email notification with the subject line “URGENT: You’ve Got Mail at Your Virtual Office!”
You then choose what to do with it:
Tip: Simply reply to the notification email with your instruction. Our team typically responds the same business day.
Reply to your mail notification email with the full forwarding address. Our team will dispatch it via Canada Post and send you a tracking number by email once it has been shipped.
Reply to your mail notification email and request a scan. We will open the envelope, digitize the contents, and email them to you as a PDF attachment.
Once scanned, you can also request that the original document be shredded. Mail scanning is included as part of your virtual office membership at no additional charge.

Yes. Many of our members have multiple business entities registered under our address. Our team tracks incoming mail by company name and notifies the account holder whenever any of their registered businesses receive correspondence.
Please ensure that you subscribe for each business entity and that all business names registered at our address are disclosed to our team when you sign up, so we can correctly identify your mail.

Important: If you cancel your membership, you are required to update your CRA records and provide proof that our address has been removed from all registrations before your cancellation is processed.
To receive your Letter of Authorization, complete the Virtual Office Contract Form provided by our team during onboarding. Once submitted, a download link for your letter will be sent to your email.

There is a one-time fee for the physical signage requirement for the in-person video verification which applies to Brampton only. If you need to reschedule your verification appointment, you do not need to pay for new signage — just contact us to rebook.
Using our private offices, boardroom, and event space in Brampton

Once all required proof has been submitted and verified, your membership will be cancelled. If proof is not provided, billing will continue. After cancellation, any mail that arrives will be returned to sender.
Before cancelling: We would love to understand what we could have done better. We offer a free consultation to see if there’s a solution — and if you don’t need a physical address anymore, we may have other options that suit your business.

Mail pickup at partner locations is by appointment only and coordinated by Empowered 4X. Our partners are notified in advance and will have your mail ready at your scheduled time.
