We expect our members to demonstrate these values at all times towards staff, members, and property on and off the premises.
Mandatory requirements and expectations from our members:
Virtual Membership Confirmation: Membership processing occurs during business days, Monday to Friday, from 9 am to 5 pm local time. If you sign up during weekends or outside of our business hours, your membership will be processed on the following business day. During weekdays, please allow a processing time of 2-3 hours after payment confirmation to activate your membership. We appreciate your understanding and cooperation.
10 Day Mail Storage Service: We provide a mail storage service to Virtual Office Members, allowing the option to pick up, request scanned copies, shred mail, or have mail forwarded (subject to additional fees) within a period of 10 business days. Should the Virtual Office Member (“Member”) fail to instruct Empowered 4x via email or phone regarding the preferred method of mail handling within 10 days of receiving the initial mail notification, a storage fee of $2 per mail item will be applied to the Member’s monthly billing cycle, for a maximum of 3 months.
During this period, the Member will continue to be billed automatically on a monthly basis until such time as the mail is collected and all associated fees are settled. In the event the Member provides no further communication within the 3-month timeframe, Empowered 4x will proceed to forward the stored mail to the Member’s registered shipping address. This will incur an automatic charge of $25, plus applicable postage and taxes.
Mail Storage Fees: After 10 days of storing the mail, there will be a charge of $2 within your monthly billing cycle for each mail. You will be billed separately on a monthly basis until mail is picked up and fees are paid.
Mail: You release us from any liability arising out of or incurred in connection with any mail or packages handled on your behalf.
Billing Cycle & Auto-Renewal: Your Virtual Office Member subscription operates on a recurring billing cycle. Upon the conclusion of each billing period, your plan will automatically renew unless otherwise cancelled or terminated. By subscribing, you consent to the automatic charging of your payment card at the time of renewal, and no additional authorization will be required. The payment method provided at the commencement of the subscription will be securely stored and used for all subsequent renewals and/or additional fees (default mail storage or mail forwarding) ensuring uninterrupted service without further action from you.
Cancellation Clause: You may terminate your Virtual Office Membership at any time by providing at least thirty (30) days’ written notice prior to the next billing cycle. The cancellation process requires the submission of documented proof showing de-enrollment of the professional address, including but not limited to financial institutions, government entities, Google Business listings, vendor contracts, websites, and any other platforms reflecting the change. Following the provision of these documents, a formal written notice of cancellation must be submitted to Empowered 4x, affirming that you will cease using our business address in all your materials. Failure to provide proof of de-enrollment will result in continued billing. Any mail received after cancellation, for which payment has not been made, will be returned to the sender.
Termination: We reserve the right to terminate your Virtual Office Membership at any time, if Member does not comply with Virtual Membership polices and payments are not made for three (3) consecutive months. Upon termination, you are obligated to promptly remove our business address from all records, including but not limited to financial institutions, government entities, Google Business listings, vendor contracts, websites, and any other platforms. Any mail received after the issuance of a termination notice will be returned to the sender.
Meeting Rooms: Your use of the meeting rooms (ie Library, Boardroom, and Event Room) are subject to availability on a first-come, first served basis. The community meeting rooms must be returned to the state in which it was originally found following the meeting. Cancellations: we require a 24 hours notice for cancellations, for short-notice cancellations (less than 24 hours) we will charge a non-refundable administrative fee of $25.
Access: You will be granted lock access upon signing the agreements as per your membership. Any digital or physical key access must not be copied or shared with anyone that includes members and non-members. Any loss must be reported to us immediately, and you will be required to pay a replacement fee of $50 per key. If you are the last person to leave the Empowered 4X facility, it is your responsibility to ensure that the door is locked behind you. This is to ensure the safety of the community property at the Empowered 4X. Please note that the space is under 24 hours surveillance. No additional locks or bolts of any kind shall be placed upon any of the doors or windows of the Empowered 4X facility.
Your Guests: Your guests are welcome to visit you at Empowered 4X at any time as long as you are on the premises or drop-in during business hours. If your membership does not include your guest working in the space you will be charged the daily rate of $20 to cover their usage of the space. Please discuss any high-volume visitor requirements you may have with the Empowered 4X team in advance.
Empowered 4X Premise and Property: The premise is under 24/7 video surveillance at all times. This is for the safety of our members and property. You must take good care of Empowered 4X’s equipment, fittings, and furnishings. You must not alter or add any existing property without the consent of the Empowered 4X team. If anything is broken or damaged please report it immediately. If you are found damaging any property you will be required to replace the item. You can only use the amenities that were included in your membership, any violations of that can result in fees or termination of your membership. No article deemed hazardous on account of fire or any explosives shall be brought into the Empowered 4X facilities. No offensive gasses, odors, or liquids shall be permitted. No weapons concealed or otherwise, shall be permitted. Empowered 4X facilities are intended to be used solely for office and event use in a professional manner.

Entrances, Exits, and Common Areas: You shall not leave open any doors or exit doors after business hours for security purposes. All corridors, halls, and stairways shall not be obstructed by you or used for any purpose other than entering and exiting. You may not conduct business in the hallways or common areas.
Smoking or Vaping: Smoking and vaping of any type i.e. nicotine or electronic or any other form, shall be prohibited at any time in any area of the Empowered 4X facility (including open or closed offices, event room, boardroom, and bathrooms).
Soliciting: You may only solicit other customers for business or any other purpose through facilities-approved channels (e.g. through notice-boards and networking events held at Empowered 4X). Your Property: All property belonging to you or any of your employees, agents or invitees shall be at the risk of such person only and we shall not be liable for damages thereto or for theft or misappropriation thereof. It is recommended that you have general liability for your business, depending on your membership it is required to have a minimum of 2 million general liability.
Harassment: You and your officers, directors, employees, shareholders, partners, agents, representatives, contractors, customers, or guests shall be prohibited from participating in any type of harassing, discriminatory or abusive behavior to our team members, other customers, or guests, verbal or physical in the Empowered 4X facility for any reason. Any breach of this rule is a material breach of your agreement (not capable of remedy) and your agreement may be terminated immediately, and services will be suspended without further notice.
Insurance: It is recommended that you get business insurance to protect yourself and your assets. If you are a private office member, you have to provide a $2 Million General Liability Insurance with the information provided by the E4x team.
Termination: We have the right to terminate the Agreement immediately if you are or become (i) a person, entity, or government with whom a citizen of Canada is prohibited from engaging in transactions by any trade embargo, economic sanctions, or other prohibition of Canadian law or regulation. We reserve the right to immediately suspend services and/or terminate the agreement if we determine that our company, facility or address is being used in connection with possible fraudulent activity or activity that may be a violation of laws or governmental regulations. (ii) damage or harm to property and members or any similar.
Payment and Late Penalty: All invoices are due upon receipt. To pay you can make your cheques payable to Empowered 4x or pay the invoice directly online. Late fee dates will vary based on the type of service/invoice provided. If you do not pay fees when due, a service fee equal to 3% of the overdue balance amount (the monthly fee amounting to an annualized rate of 55.9%). If you dispute any part of an invoice, you must pay an amount not in dispute by the due date or be subject to such a late fee and penalty.
Insufficient Funds: You will pay a fee of $50 or the maximum amount permitted by law for any returned cheques or any other declined payment due to insufficient funds.
Data Protection: We request you provide, as and when requested by us, documentation and personnel information as we may reasonably require to enable the provision of the services. Such personal data will be used by us in accordance with the law.
Force Majeure: We shall have no liability to you under this agreement if we are prevented from, or delayed in, performing our obligations under this agreement or from carrying on our business by acts, events, omissions, or accidents beyond its reasonable control, including (without limitation) strikes, failure of a utility service or transport network, act of God, war, riot, civil commotion, malicious damage, disease or quarantine restrictions compliance with any law or governmental order, rule, regulation or direction, accident, fire, flood, storm or default of suppliers or subcontractors. Our obligation to perform our obligations shall be suspended during the period required to remove such force majeure events. We shall notify you as soon as reasonably possible of the force majeure event and propose a suitable alternative accommodation (if any) in the same Empowered 4X facility.
Security Violations: You are prohibited from engaging in any violations of system or network security. Our Internet service may not be used in connection with attempts – whether or not successful – to violate the security of a network, service, or other systems. Examples of prohibited activities include, without limitation, hacking, cracking into, monitoring, or using systems without authorization; scanning ports; conducting denial of service attacks, and distributing viruses or other harmful software. We reserve the right to suspend the Internet access upon notification from a recognized Internet authority or ISP regarding such abuse. We may disconnect your equipment and withhold services if we consider your hardware or software is, or has become, inappropriate for connection to our network. You are responsible for your own virus protection on your systems and hardware.
