At Empowered 4X, our community values Coworking, Colearning, Coliving, and Cogiving. These collaborative values are rooted in trust, integrity, honesty, respect, and community. 

We expect our members to demonstrate these values at all times towards staff, members, and property on and off the premises.

Mandatory requirements and expectations from our members:

VIRTUAL OFFICES

Virtual Membership Confirmation: Membership processing occurs during business days, Monday to Friday, from 9 am to 5 pm local time. If you sign up during weekends or outside of our business hours, your membership will be processed on the following business day. During weekdays, please allow a processing time of 2-3 hours after payment confirmation to activate your membership. We appreciate your understanding and cooperation.

10 Day Mail Storage Service: We offer a mail storage service to Virtual Office Members, allowing you to pick uprequest scanned copiesshred, or forward your mail (additional fees may applywithin 10 business days of receiving a mail notification.
If no instructions are received by email or phone within this 10-day window, a storage fee of $2 per mail item will be added to your monthly billing cycle, for up to 3 months.
During this time:

  • You will continue to be billed monthly until the mail is picked up and all associated fees are paid.
  • If we receive no communication within 3 months, Empowered 4x will automatically forward the stored mail to your registered shipping address.
    • This will incur a $25 processing fee, plus postage and taxes.

Mail Storage Fees: After 10 days, a $2 fee per mail item will be charged to your monthly billing cycle. This will continue monthly until the mail is collected and fees are cleared.

Mail Disclaimer: You release Empowered 4x from any liability arising out of or incurred in connection with any mail or packages handled on your behalf.

Billing Cycle & Auto-Renewal: Your Virtual Office Member subscription operates on a recurring billing cycle. Upon the conclusion of each billing period, your plan will automatically renew unless otherwise cancelled or terminated. By subscribing, you consent to the automatic charging of your payment card at the time of renewal, and no additional authorization will be required. The payment method provided at the commencement of the subscription will be securely stored and used for all subsequent renewals and/or additional fees (default mail storage or mail forwarding) ensuring uninterrupted service without further action from you.

Cancellation Clause: 

For Monthly Subscribers:
  • You may cancel your Virtual Office Membership at any time by providing at least thirty (30) days’ written notice before your next billing cycle.
  • To complete the cancellation process, you must submit documented proof that your business has been de-enrolled from using our professional address. This includes, but is not limited to:
    • Financial institutions
    • Government agencies
    • Google Business listings
    • Vendor contracts
    • Websites
    • Any other platforms or directories showing your business address
  • Once proof is provided, you must submit a formal written notice to Empowered 4x affirming that our address will no longer be used in any of your materials.
  • Billing will continue until both the documented proof and formal cancellation notice have been received.
  • Any mail received after cancellation (if payment has not been made) will be returned to sender.

 

For Yearly Subscribers:
  • Yearly subscribers must also provide at least thirty (30) days’ written notice prior to the end of their annual term if they wish to cancel for the next period.
  • The cancellation process requires submission of documented proof of de-enrollment from all platforms using our address (as outlined above), followed by a formal cancellation notice confirming that our address will no longer be used.
  • Please note: All yearly subscriptions are non-refundable, regardless of early cancellation or non-use.
  • Failure to provide both proof of de-enrollment and formal notice will result in continued mail services and fees.
  • Any mail received after cancellation, without payment, will be returned to sender.

Termination: We reserve the right to terminate your Virtual Office Membership at any time if you fail to comply with our Virtual Membership policies or if payment is not received within fifteen (15) consecutive days of the due date.
Upon termination, you are required to immediately remove our business address from all associated records, including but not limited to:

  • Financial institutions
  • Government entities
  • Google Business listings
  • Vendor contracts
  • Websites
  • Any other platforms or materials displaying our address
Any mail received after the termination notice has been issued will be returned to the sender.

MEETING ROOMS

Meeting Rooms: Your use of the meeting rooms (i.e. Library, Boardroom, and Event Room) are subject to availability on a first-come, first-served basis. The rooms must be returned to their original condition after use.


Cancellations: We require 24 hours’ notice. For cancellations under 24 hours, a non-refundable $25 administrative fee will apply.

COWORKING SPACE

Access: You will receive lock access upon signing your membership agreement. Keys must not be copied or shared, including with other members. Losses must be reported immediately.

  • $50 replacement fee for lost keys.
  • If you’re last to leave, you must lock the door.
  • The facility is under 24-hour surveillance.
  • No additional locks or bolts are allowed.

Your Guests: Guests may visit while you’re on the premises or during business hours.

  • If your membership does not include guest access, a $20 daily rate will apply.
  • Meeting room booking: Email connect@empowered4x.com.
  • For high-volume visitors, notify the Empowered 4X team in advance.

Empowered 4X Premise and Property:

  • 24/7 video surveillance for member and property safety.
  • Take good care of equipment, fittings, furnishings.
  • Do not alter property without permission.
  • Report all damage immediately—you may be responsible for replacement.
  • Use only amenities included in your membership.
  • Violations may result in fees or termination.
  • No hazardous items, explosives, offensive gasses, odors, or liquids.
  • No weapons allowed.
  • Use the space only for professional office or event purposes.

Mail: You release us from any liability for mail or packages handled on your behalf.

Entrances, Exits, and Common Areas:

  • Do not leave doors open after business hours.
  • Keep hallways, corridors, and stairways clear.
  • No business may be conducted in common areas.

Smoking or Vaping: Smoking and vaping of any type i.e. nicotine or electronic or any other form, shall be prohibited at any time in any area of the Empowered 4X facility (including open or closed offices, event room, boardroom, and bathrooms).

Soliciting: You may only solicit other customers for business or any other purpose through facilities-approved channels (e.g. through notice-boards and networking events held at Empowered 4X). Your Property: All property belonging to you or any of your employees, agents or invitees shall be at the risk of such person only and we shall not be liable for damages thereto or for theft or misappropriation thereof. It is recommended that you have general liability for your business, depending on your membership it is required to have a minimum of 2 million general liability.

Your Property:
  • All your property is at your own risk.
  • We are not liable for damage, theft, or loss.
  • General liability insurance recommended (minimum $2 million required for certain memberships).

Harassment: You and your officers, directors, employees, shareholders, partners, agents, representatives, contractors, customers, or guests shall be prohibited from participating in any type of harassing, discriminatory or abusive behavior to our team members, other customers, or guests, verbal or physical in the Empowered 4X facility for any reason. Any breach of this rule is a material breach of your agreement (not capable of remedy) and your agreement may be terminated immediately, and services will be suspended without further notice.

Insurance: It is recommended that you get business insurance to protect yourself and your assets. If you are a private office member, you have to provide a $2 Million General Liability Insurance with the information provided by the E4x team.

CONTRACT TERMINATION

Termination: We have the right to terminate the Agreement immediately if you are or become (i) a person, entity, or government with whom a citizen of Canada is prohibited from engaging in transactions by any trade embargo, economic sanctions, or other prohibition of Canadian law or regulation. We reserve the right to immediately suspend services and/or terminate the agreement if we determine that our company, facility or address is being used in connection with possible fraudulent activity or activity that may be a violation of laws or governmental regulations. (ii) damage or harm to property and members or any similar.

PAYMENTS

Payment and Late Penalty: All invoices are due upon receipt. To pay you can make your cheques payable to Empowered 4x or pay the invoice directly online. Late fee dates will vary based on the type of service/invoice provided. If you do not pay fees when due, a service fee equal to 3% of the overdue balance amount (the monthly fee amounting to an annualized rate of 55.9%). If you dispute any part of an invoice, you must pay an amount not in dispute by the due date or be subject to such a late fee and penalty.

Insufficient Funds: You will pay a fee of $50 or the maximum amount permitted by law for any returned cheques or any other declined payment due to insufficient funds.

PRIVACY AND SECURITY

Data Protection: We request you provide, as and when requested by us, documentation and personnel information as we may reasonably require to enable the provision of the services. Such personal data will be used by us in accordance with the law.

Force Majeure: We shall have no liability to you under this agreement if we are prevented from, or delayed in, performing our obligations under this agreement or from carrying on our business by acts, events, omissions, or accidents beyond its reasonable control, including (without limitation) strikes, failure of a utility service or transport network, act of God, war, riot, civil commotion, malicious damage, disease or quarantine restrictions compliance with any law or governmental order, rule, regulation or direction, accident, fire, flood, storm or default of suppliers or subcontractors. Our obligation to perform our obligations shall be suspended during the period required to remove such force majeure events. We shall notify you as soon as reasonably possible of the force majeure event and propose a suitable alternative accommodation (if any) in the same Empowered 4X facility.

Security Violations: You are prohibited from engaging in any violations of system or network security. Our Internet service may not be used in connection with attempts – whether or not successful – to violate the security of a network, service, or other systems. Examples of prohibited activities include, without limitation, hacking, cracking into, monitoring, or using systems without authorization; scanning ports; conducting denial of service attacks, and distributing viruses or other harmful software. We reserve the right to suspend the Internet access upon notification from a recognized Internet authority or ISP regarding such abuse. We may disconnect your equipment and withhold services if we consider your hardware or software is, or has become, inappropriate for connection to our network. You are responsible for your own virus protection on your systems and hardware.
